Volunteering at PyHo isn't a job — it's how the community shows up for itself. Here's what you get out of it beyond the satisfaction of making something real happen.
Volunteers receive complimentary access to all PyHo 2026 events — the main conference, Builders Lab showcase, and any sessions your shift allows. You're not just staff; you're an attendee too.
You'll work closely with organizers, speakers, sponsors, and 200+ attendees over three days. The relationships you build on the volunteer team tend to outlast the conference itself.
Every volunteer receives a PyHo 2026 volunteer T-shirt, a lanyard identifying you as crew, and any additional swag the team puts together. You'll be recognisable — and appreciated.
Volunteering puts you in the room with the organizers, speakers, and the core Python community in Ghana. It's the best seat in the house for anyone who wants to be more involved beyond attending.
Roles are organised into seven departments covering all three days of PyHo 2026. You can express a preference when you apply — we'll do our best to match you.
Welcome attendees, check them in, hand out badges and welcome packs, and answer first-arrival questions. First face most people see at PyHo.
Setting up rooms, signage, furniture, and equipment before doors open — and packing everything down after the closing ceremony. Early starts required.
Putting up directional signs, room labels, and schedule boards. Keeping them updated if anything changes. Helping lost attendees find where they need to be.
Managing entrances, session room capacity, lunch queues, and ensuring the venue runs smoothly between sessions. Calm, organised, and good with people.
Operating cameras, managing audio levels, and ensuring every talk is cleanly recorded for the PyHo YouTube channel. Some A/V experience preferred but not required.
Helping speakers connect laptops, load slides, test microphones, and troubleshoot any stage-side technical issues before and during their sessions.
Keeping an eye on network performance, reporting issues to the venue team, managing power strips in session rooms and the networking area.
Assisting with any live stream setup for remote attendees or social coverage. Monitoring stream quality and flagging issues to the A/V team in real time.
Stationed in a session room for the day — introducing speakers, managing the Q&A mic, keeping track of time, and ensuring the room runs to schedule.
Holding up time cards for speakers (10 min / 5 min / STOP) to keep sessions on schedule. Especially critical during lightning talks. Needs confidence and a clear signal.
Answering questions about the programme, room locations, and timing throughout the day. You need to know the schedule well and stay calm when things shift.
Supporting coaches and participants during the two-day workshop — fetching supplies, running messages, and generally making sure the room has everything it needs.
Helping participants get their development environments working on Day 1. Some Python/terminal knowledge is useful — patience and positivity are essential.
Keeping the Django Girls day running smoothly — liaising with coaches, managing the schedule, handling logistics, and being the main point of contact for on-the-day issues.
Coordinating within a single sprint track — keeping teams on schedule, communicating check-in times, liaising between participants and track mentors throughout the day.
The link between sprint teams and technical mentors — flagging which teams are stuck, routing questions, and keeping the mentor floor running efficiently across tracks.
Setting up the demo showcase area for October 24 — display screens, demo stations, signage, and ensuring the room is ready for the 6:00 PM public showcase.
Liaising with partner judges during the showcase — managing scoring sheets, timing demos, coordinating the awards sequence, and handling any last-minute logistics.
Greeting attendees at venue entry points, helping people find their way, answering general questions, and maintaining the warm and welcoming atmosphere that PyHo is known for.
Coordinating meal service, keeping refreshment tables stocked, managing queues at lunch, and communicating with the catering team on timing and dietary requirements.
Ensuring accessible routes are clear, assisting attendees who need support navigating the venue, and being the first point of contact for any accessibility requests on the day.
Capturing the conference — talks, networking, Django Girls, Builders Lab, and closing moments. Photos will be shared publicly after the event. Photography experience preferred.
Posting live updates on X (Twitter), LinkedIn, and other channels throughout the conference days — talk highlights, quotes, crowd moments, and real-time energy from PyHo 2026.
Keeping the attendee and volunteer WhatsApp groups updated with real-time information — room changes, delays, announcements, and any urgent updates from the organising team.
Updating printed or digital schedule boards and room signage when sessions shift or rooms change. Works closely with the logistics team and programme coordinator.
Here's how volunteering at PyHo 2026 works — from the moment you apply to the moment we close the doors on October 24.
Fill in the volunteer application form with your name, contact details, preferred roles, and any relevant experience. Applications close a few weeks before the event.
The volunteer coordinator will review applications and confirm your role by email. You'll receive a brief role description and any prep you need to do before arrival.
All volunteers attend a briefing session before the event — either in person or via a WhatsApp/video call — where you'll meet the team, get your shift schedule, and ask any questions.
Arrive at your shift start time, pick up your volunteer T-shirt and lanyard at check-in, and make PyHo 2026 happen. You'll be supported throughout by the organising team.
Beyond the satisfaction of making something great happen, every PyHo volunteer receives the following.
Attend all PyHo 2026 sessions, the Builders Lab showcase, and any events your shift schedule allows. You're part of the conference, not just behind it.
A branded volunteer shirt you'll actually want to wear — collected at the volunteer check-in on your first shift day.
Catered meals and refreshments provided for all volunteers during active shifts across all three days.
Working directly alongside the PyHo team gives you inside access to the people running Python in Ghana. Many past volunteers have gone on to speak, organise, or sponsor future events.
Volunteers are acknowledged at the opening and closing ceremonies. Your contribution to PyHo 2026 is part of the public record of this event.

Answers to the questions we hear most often from people interested in volunteering.
No — most volunteer roles don't require prior conference experience. What matters more is reliability, a positive attitude, and a genuine interest in supporting the Python community. For technical roles like A/V or speaker tech support, some relevant experience is helpful and noted in the role description.
No. You can volunteer for one day, two days, or all three — just tell us your availability in the application. Some roles are specific to a single day (like Django Girls on Oct 22–23 or Builders Lab on Oct 23). We'll do our best to match your availability with a role that fits.
Yes — all volunteers receive full conference access and can attend any sessions that don't conflict with their shifts. We schedule breaks and rotate volunteers where possible so everyone gets time to experience the conference. Some roles (like session room monitor) put you inside the talks anyway.
Shifts typically run 4–8 hours depending on the role and the day. Registration desk and welcome roles tend to be busiest at the start of each day; session monitors run the length of the programme. Your confirmed shift schedule will be shared before the event so you can plan accordingly.
Volunteers should be 16 or older. University students are very welcome — we actively enjoy having student volunteers and it's a great way to get involved with the Ghanaian tech community early in your career.
Life happens — we understand. If you can no longer volunteer, please let us know as early as possible by emailing ho@pythonghana.org. Last-minute cancellations put pressure on the rest of the team, so the earlier you tell us, the better we can manage. We'd rather know early than have a no-show on the day.
Yes, but with some caveats. If you're speaking at the conference, we'd recommend limiting your volunteer shifts to times that don't overlap with your talk prep or session. Let us know you're a speaker in your application and we'll schedule you accordingly. The priority on your talk day should always be your talk.
Absolutely. Tell us in the application what you can do and we'll see if there's a fit. In past years we've had volunteers help with translation support, graphic design on the day, and ad-hoc coordination roles that weren't listed anywhere in advance. If you're eager to contribute, we'll find something useful.
